Job DescriptionThis position is responsible for assisting the project manager in any and all tasks as requested by the PM to the best of their ability. The objective is to help the project manager complete the job on time and on budget to meet all associated performance requirements while maintaining or exceeding all stakeholders, internal and external, expectations. This position reports to the Projects Department Manager and will be assigned to 4 to 5 project managers.ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Help prepare kickoff information for project kickoff meetings
  • Attend project kickoff meetings and assist with taking notes
  • Review submittal and O&M specification requirements
  • Assemble Submittals (I&C & Mechanical) in PDF
  • Assemble O&Ms (I&C & Mechanical) in PDF
  • Generate Submittal for Standard Products from project information and PDF
  • Generate O&Ms for Standard Products from project information and PDF
  • Coordinate Hardcopy Submittals with Admins
  • Coordinate Hardcopy O&Ms with Admins
  • Update Project Plan: PO, Transmittal, Change Log, and Milestone Schedule
  • Track and Expedite Deliveries (Equipment, Instruments, binders, etc.)
  • Update PM Assignment Sheet with Dates and Contact Addresses
  • I&C Inventory Tracking for bulk-ordered panel parts
  • Assist I&C with Purchasing
  • Assist PMs with warranty complaints
  • Update Project Information in Asana/Smartsheet
  • Create a base Project in ASANA
  • Follow up with Vendors on Submittal and Delivery information
  • Assist PM with invoicing issues as requested
  • Assist PM with closing out the project
  • Including any other responsibilities to support the PM and approved by the Projects Department Manager.QualificationsEDUCATION
    • Five years or more of experience is required for this position in the position of Administrative Assistant.
    • A Bachelor's Degree is a plus but not requiredSKILLS, KNOWLEDGE and EXPERIENCE -
      • Must have excellent written communication skills as the employee will be required to communicate with numerous people across several internal and external disciplines.
      • Must have experience with careful email communications, which is required in a corporate environment.
      • Need to be able to touch type and have intermediate to advanced keyboard skills.
      • Preferred to have an intermediate-level skill in the following programs:
        • MS Word and Google Docs
          • Change page layout
          • Develop and utilize headings
          • Create and modify text boxes
          • Create tables to organize information in a Word document
          • Place images in a Word document
          • Add a hyperlink
          • Save to PDF with automatic Bookmarks
          • Google Docs
            • Create new Docs in Google Drive
            • Convert and import other file types into Google Docs
            • Format a Google Docs header, footer, body, etc
            • Create sections
            • Develop and utilize Headings
            • Use comments and notes to collaborate
            • Download your Docs
            • Share your Docs
            • Preferred to have a beginning-level skill in the following programs:

                • Saving and Opening a Workbook
