Job Description:

As a fast-growing healthcare services company that provides behavioral healthcare services to children, we are looking for a Construction & Real Estate Manager to help us build and maintain unparalleled environments for our therapy services. The Construction & Real Estate Manager will assist with site selection and manage construction, purchasing, maintenance, and life safety. This position will work directly with the CEO, and includes the following elements.
Construction

  • Project planning and forecasting for new facilities
  • Develop detailed schedules & quarterback all new development projects, ensuring projects are proceeding on time and within budget while communicating regular status updates to relevant internal and external teams
  • Participate in site evaluations and construction cost forecasting
  • Work with signage vendors to conduct review of signage code, determine plan to maximize signage including variances, and develop signage packages
  • Coordinate with landlords and landlord's civil engineer, architect, and contractor on site plan design, building design, lighting design, and landscape design
  • Work with landlords in planning board review and building permit process
  • Manage architectural and engineering design processes of tenant's build-out, including all construction document & specification review
  • Coordinate tenant's build-out permit process
  • Coordinate landlord's contractor and tenant's contractor scope of work
  • Bid evaluation
  • Construction administration and management
  • Submittal review
  • Organize & attend weekly job meetings and maintain comprehensive meeting minutes
  • Update internal teams about progress, timing changes to project plan, and actions needed to drive overall project schedules
  • Maintain project records, proposal & change order logs
  • Coordinate all inspections with GC and obtain Certificate of Occupancy (CO)
  • Regularly update standard landlord specifications for new sites based on learnings from past projects
    Purchasing
    • Timely procurement of all fabrics, furniture, artwork, signage, therapy & play equipment, appliances, janitorial fixtures, opening janitorial and kitchen supplies, clinical fixtures, opening clinical supplies, specialty shelving, specialty lighting, window treatments, accessories, small wares, and other related supplies to meet supplier lead-times and construction deadlines.
    • Direct the on-site delivery and set-up teams and manage the installation of all items
    • Complete comparative pricing analyses and participate in vendor and supplier selection
      Maintenance & Safety
      • Ensure that all facilities are being maintained in a first class manner
      • Develop, implement, and update maintenance and janitorial policies and procedures, including a maintenance and janitorial checklist
      • Routinely inspect and monitor the overall condition of the facilities, equipment and furnishings of all facilities
      • Initiate immediate action to correct maintenance problems for all facilities
      • Develop and maintain a list of reliable and management-approved maintenance and janitorial vendors, including, but not limited to plumbing, HVAC, electrical, and painting
      • Oversee all maintenance and janitorial work in all facilities and all contract services such as nightly cleaning, HVAC maintenance, sprinkler inspections, fire alarm inspections, generator maintenance, pest control, etc.
      • Routinely bid out all service agreements/contracts
      • Develop and maintain records and logs of equipment and furnishings
      • Ensures equipment manuals and equipment warranty information are logged and maintained
      • Develop preliminary draft annual budget for all maintenance and janitorial requirements
      • Maintaining compliance with all life-safety codes
      • Develop and maintain a policy to meet all life safety requirements, driving toward best practices in terms of relevant healthcare services and education standards
        Site Selection (in partnership with CEO)
        • Utilize research databases and other resources to collect and organize data
        • Conduct research projects
        • Update site selection and market selection matrices

          Qualifications & Experience:
          • Self-starter that adapts well to change in a fast-paced workplace
          • Ability to prioritize and work through multiple tasks and projects concurrently and efficiently
          • Highly motivated with strong work ethic
          • Excellent organizational skills
          • Excellent project management and critical path scheduling skills
          • Prior experience in construction management and maintenance, ideally with a focus on multi-facility healthcare, education or retail organizations
          • Proficiency in using computer software and research databases to support activities, including Microsoft Project
          • University diploma or equivalent
          • Exceptional communication, writing and interpersonal skills, with the ability to create and enhance working relationships with all employee levels and outside contacts
