Introduction:

The benefits specialist is responsible for supporting the operations and administration of all benefits, wellness and retirement programs, including but not limited to medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plan. Expect high degree of collaboration with the Benefits team to create, implement, test and launch benefit programs.

This role involves interpretation of plan documents, policies, and procedures to ensure compliance with ERISA, IRS and DOL requirements, resolving participant escalations, directing vendors as necessary, reconciliations, problem solving, maintaining accurate business process documents and, leverage data, to conduct analysis for solving problems and providing solutions.

Provide support in developing plan and investment design, regulatory compliance, and vendor management in collaboration with the Benefits Manager, and 401k plan fiduciary committee. Creativity is important in this role to solve problems and to improve the administration of the plan and employee experience.

Responsibilities:

  • Day to day operations of TABS & Toshiba benefits plans including the communication, execution and administration of the plans. Manage Toshiba Canada retirement plan and oversee administration.
  • Partner with benefit program vendors ensuring the right employee experience, cost effectiveness and high-performance results. Manage internal relationships and deliverables within and outside of HR. Address escalated individual participant issues and recommend process improvements.
  • Conduct, in partnership with the vendors, annual plan audits and IRS filings through knowledge of annual filing requirements, disclosure requirement notices and non-discrimination testing. Conduct any required correction procedure to ensure compliance of retirement & benefit plans.
  • Perform day to day operations of Toshiba & TABS executive deferred compensation plan (EDCP) including annual open enrollment, TABS & Toshiba 401K Plan, the Toshiba retiree HRA plan including annual audits and valuation and oversee grandfather life program at Toshiba.
  • This position will be responsible for vendor billing, including but not limited to setting up vendors, formatting billings, submitting bills for approval, and tracking approvals and payments.
    Required Skills:
    • Bachelors degree or equivalent experience.
    • 8+ years experience in core benefits administration. 5+ years experience in leading and administering health and welfare and, retirement programs: defined benefit/define contribution plans and, qualified/non-qualified plans, including vendor management, for 1000+ plan participants.
    • Experience with research, analysis, evaluation, and administration of retirement benefits plans and programs.
    • Advanced proficiency in Microsoft Excel, especially Pivot Tables, vlookup & Macros
    • Knowledge of compliance requirements for related federal and state rules and regulations (ERISA, IRS and DOL).
    • Demonstrated effective project management skills
    • Strong written and verbal communication skills
    • Strong service orientation and ability to establish and maintain effective working relationships with all levels of employees.
    • Ability to work independently and with a team
    • Ability to prioritize multiple projects with specific deadlines; strong attention to detail and organizational skills.
    • Commitment to maintaining confidentiality of all personal records
