Job Summary
The Donor Services Specialist is responsible for coding, recording,
and processing all types of cash and non-cash charitable donations
received by the Foundation. The Specialist's primary area of
responsibility lies in accurate, timely gift entry and
acknowledgment as well as in responding to donor inquiries. In
conjunction with this responsibility, the Donor Services Specialist
is also responsible for creating and updating donor demographical
information as deemed appropriate and is also the primary person
responsible for maintaining donation record files. The Donor
Services Specialist will provide backup assistance to finance,
development, special projects, and marketing, performing other
administrative duties as needed.
Major Responsibilities/Activities
Key Responsibilities: (65%)
- Responsible for mail (open, copy, distribute, etc.)
- Process donations, stamping receipt date on all gift
correspondence, logging donations in the check log, and assigning
to correct campaign
- Photocopy all donation checks and associate with gift
correspondence for paper and electronic files
- Accurately record gifts into the donor database paying close
attention to donation details
- Run donor acknowledgment letters: assisting with reports and
templates, proofing letters, and preparing for mailing
- Assist with donor data integrity: make demographic changes to
donor profiles as needed, process duplicate merges
- Generate reports from the donor database as requested
- Answer multi-line phone and correctly route calls, accurately
determine if caller does or does not need to be connected to staff
member
- Complete matching gift confirmation requests, track matching gift
confirmations and maintain matching gift pending file; process
matching gifts when received to campaign of original gift
- Contribute to donor stewardship: responding to donor inquiries
via phone and email, processing returned mail, recognizing tribute
gifts attending weekly meetings with other departments as
needed
Secondary Responsibilities: (35%)
- Basic operation and maintenance of general office equipment such
as postage machine and printer/copier/scanner
- Assist as needed with office mailings and shipments
- Attend staff meetings & trainings as required
- Responsible for other administrative duties as assigned
- Prioritize and manage multiple responsibilities and projects
while meeting deadlines
- Creatively solve problems and work independently under general
direction
- Establish and maintain an effective customer service orientation
towards all persons contacted during job performance including
co-workers
- Execute work thoroughly and meticulously
Requirements:
Minimum Requirements:
- Associates degree and two years of progressively responsible and
diverse administrative experience; OR, any equivalent combination
of experience, training and/or education
- Skilled in Microsoft Office Suite: Excel, Outlook, PowerPoint,
and Word.
- Quantitative processing skills (basic math through percentages,
fractions and decimals, spreadsheet construction)
- Ability to learn customized software and processes quickly
- Elementary database reporting ability
- Quick, accurate, consistent data entry
- Excellent Customer Service skills: maintains a positive attitude
with excellent communication and interpersonal skills, both oral
and written
- Experience working with diverse populations
- Proven ability to maintain systems and processes
