About our PracticeQuartet Veterinary Hospital - Surgery has one
of the most experienced board-certified surgical team in the
Triangle Area. We provide orthopedic, neurosurgical, soft tissue,
and oncologic surgery. Our team consists of technicians, technician
assistants, patient care coordinators and receptionists, all
working with the surgeons to provide the highest standard of care
for our patients and their families.About the Position The client
service representative plays a critical role in the client
experience acting as the gatekeeper of both the first and last
impressions of the practice. If those impressions are positive, the
client will most likely feel more confident and comfortable with
their surgical practice choice.Primary responsibilities
include:Answering phones and taking messagesScheduling
appointmentsGreeting clients as well as processing their financial
transactionsUsing EzyVet PM software to schedule, prepare records,
send remindersCommunicate effectively with the technician staff and
DVM staff on all items related to patient/clientsSending and
receiving consent forms, estimates and appointment
remindersResponding to messages through multiple hospital
platformsTriaging calls on a case-by-case basis for best scheduling
in partnership with the medical teamCommunicating with referring
veterinariansWillingness to cross-train with the patient care
teamRequirements:Excellent customer service skills. We want to know
that you have worked in customer service, not that you can. We
prefer veterinary experience (at least two years).Outstanding team
skills. You will be working with the front and the back staffs as
well as the doctors and it will be critical that you are
comfortable working with diverse communication styles.Ability to
multi-task. Yes, like any busy practice, the phone will be ringing,
while you are on a phone with a client and at the same time a staff
member is trying to get your attention. You need to be able to
handle it all with grace and a cool head.Comfortable with practice
management software. You do not have to know ours but be a quick
study. You will be on your computer all day.Calm in the storm:
Customer service can be stressful. We need our staff to be able to
remain calm when clients aren't, to ensure we can be an objective
advocate for their pets.Communications: Able to communicate your
client's needs clearly and concisely to the professional
staff.Flexibility: In a small team everyone needs to be able to
pitch in, as necessary. Everyone.Hours: Monday-Friday. This is a 4
day 40-hour a week position. We will determine the optimal schedule
after speaking with you. Hours are 8:00am - 4:30pm.
